Printing and Mailing Analyst – Remote – 106404

Call Center – USA Offsite, Offsite 

 

Position Overview

The role of the Inventory Analyst is to help manage the printing and mailing of all Scarborough materials. This Inventory Analyst will work closely with all printing and mailing entities (internal and external vendors) to ensure necessary materials are available to assemble all due mailings, and that all mailings are completed per our schedules to meet deadlines. The Inventory Analyst is also responsible for the collection, maintenance, reconciliation, and reporting of inventory and mailing data to management and finance.

 

Job Responsibilities

  • Work with internal and external vendors to print materials for all Scarborough mailings so that inventory is available on time for mailings to start according to our schedules, and complete per closed dates. 

  • Collaborate with internal and external mail teams to ensure that all mailings go out daily/weekly per our mailings schedules, and that any delays are addressed and resolved in a timely manner, and reported to all groups. 

  • Maintain and develop databases and/or Google sheets models to track premium, postage, materials, and other relevant items. 

  • Provide cost estimates and analysis for new initiatives and special projects.

  • Assist in future ordering, forecasting and budgeting of printing and mailing.

  • Provide financial reports such as inventory, forecasting, and accruals.

  • Order premiums, postage, and materials for production. Ensure internal and external production sites have sufficient material inventory.

  • Work with external print and mail vendors to reconcile daily mailings, orders,  inventory, funding, and all items necessary for mailings to occur per our schedules.

  • Analyze and create production schedules, plan and schedule materials to meet production demand.  

  • Manage relationships with customers and vendors (print vendor, supply vendor, mail services vendor, and USPS representatives).

  • Set up all mailings and payouts in the Scarborough mailing application.

  • Provide analysis in support of production systems and processes. Apply logic, reasoning and data to draw conclusions.

  • Track multiple processes which are in various stages of production and handled in various locations.

  • Manage assigned workload and reprioritize as necessary, with a proven track record of effectively handling multiple projects simultaneously.

  • Troubleshoot day-to-day incidents and SEVs; communicate with all stakeholders and respond accordingly.

  • Detect, research, analyze and resolve data discrepancies.

  • Identify production challenges that may cause potential materials and mail services  delays, leverage other departments, and take corrective action as needed. 

  • Participate in development and implementation of quality control procedures for all internal systems. 

  • Create internal documentation for new processes and maintain documentation on existing processes. 

  • Maintain and organize a directory of relevant materials for easy access.

 

Position Requirements

  • College degree required 

  • Minimum 4 years of experience in a production or related environment

  • Minimum 2 years of inventory tracking and management

  • Ability to maintain records to track and maintain materials needed for production

  • Ability to work on assigned workload and adapt to reprioritization as necessary, with experience in handling multiple projects simultaneously

  • Strong analytical skills

  • Experience in forecasting and budgeting

  • Strong accounting skills

  • Advanced problem solving skills and ability to understand the context and impacts of business decisions, provide recommendations to avoid future occurrences

  • Strong oral and written communication skills

  • Excellent skills with Google/Microsoft Office suite of products

  • Working knowledge of postal regulations a plus

 

Physical Requirements

  • Ability to stand, bend, stoop, sit, walk, twist and turn

  • Ability to use a phone or headset

  • Ability to use a computer keyboard and calculator
