Position Overview

Responsible for processing and coordinating total sample for production, tests and special projects.  Will assist in evaluating current business process procedures for quality controls and ensure all procedures meet the highest production standards within the department.


Job Responsibilities

  • Responsible for quality sample processing within the department.  The Sample Coordinator requires in-depth knowledge in sample processing, testing and maintenance of sample received from the Sampling Department.  The Sample Coordinator may be routinely expected to recommend or resolve business critical problems in all cycle processing within the sample group.

  • The Sample Coordinator is responsible for sample processing in production, tests and special projects.  The highest quality in processing must be maintained throughout all areas of processing.

  • Will assist in resolving sample related issues which effects the overall cycle processing by performing time critical analysis.

  • Work closely with Dsci Sampling, Local Production, Dsci Behavioral Methods and the Call Center in processing and all sample data.  Will ensure all samples are loaded properly and delivered as scheduled.

  • Under direction, will coordinate procedures with Dsci Behavioral Methods and other departments in designing and implementing tests.  Ensure the accuracy of all testing, modifications and clearing of routines within the Sample Controls area.  Will work closely with Information Technology to maintain functionality of routines.  Retain all cycles data files at least 2 years.

  • Ensure all records transmitted to the Call Center are received back for final processing.  Will balance counts before issuance of daily/weekly reporting.

  • Through effective teamwork, ensures accurate report generation for cycle processing.  Will accurately deliver postcard labels, letter labels, diary labels, final mail documents and on-line machine files to the Mailing Controls Team Lead or Vendors, if required, for successful mailing of all diary material.

  • Maintain all data of job runs, dates, times and counts for historical and verification purposes.  Oversee and ensure the correct data files are loaded and accessed properly for POR cycle processing.  Maintain the security of all database files to ensure confidentiality of contents.  Oversee the scheduling of all cycle jobs on CA7.  Will ensure all cycle data files are retained for at least 2 years.  Will be available for cycle processing issues 24 hours 7 days a week during all cycles.  

  • Will assist in representing the Sample group in all projects ensuring the Sample Coordinator role is clearly stated and understood.  Will ensure all inquiries received, within the Sample Control area, are thoroughly researched before responding and providing an in-depth analysis of the PIF processing data.  The inquiries also include correspondence from Quality Assurance and E&Y, regarding sample audits as requested.

  • Will assist the Manager with any special assignments assigned by upper management or various odd assignments within the department.


Position Requirements

  • Strong analytical and problem solving skills

  • Knowledge of PC hardware/software, Excel, Google Suite Products

  • Excellent human relation skills in addition to strong oral and written communication abilities

  • Decision making and critical thinking skills

  • Ability to work in a team environment

  • Ability to provide guidance in identifying and resolving software and data related issues

  • Willingness to participate in special projects while using prioritization skills to ensure all core responsibilities and deadlines are met


Preferred Qualifications

  • 2 year Business/MIS degree or equivalent experience

  • 2-3 years experience of mailing experience and/or pre-mailing file merging experience

  • Experience with Reflection software

  • Ability to use a computer keyboard and calculator


Schedule Requirements

  • Schedule hours of work 7:00 AM – 3:30 PM.  Some overtime may be required based on business needs.
